Role Description

We are seeking an organized and proactive Admin to join our dynamic team. As an Admin, you will oversee the smooth operation of daily office activities, efficiently handling tasks to maintain a productive work environment. Your responsibilities will include organizing and maintaining schedules and calendars, preparing and managing important documents, and coordinating meetings to ensure they are productive and well-organized. Additionally, you will maintain data records, handle client inquiries, manage content uploads, and interact with clients' social media audiences. Through your efforts, you will support our team's performance and enhance client satisfaction.

Key Responsibilities:

  • Proactively oversee and guarantee the efficient operation of daily office activities, expertly handling a variety of tasks to foster a highly productive and dynamic work environment.
  • Meticulously organize and maintain schedules and calendars for all team members, coordinating meetings, appointments, and critical deadlines to optimize time management and productivity across the team.
  • Diligently prepare, review, and manage essential documents, ensuring they are accurate and well-documented for easy retrieval and reference, thus supporting effective information management.
  • Skillfully coordinate meetings by scheduling timely invitations, preparing detailed agendas, and arranging the necessary resources to facilitate sessions that are both productive and well-organized.
  • Accurately maintain data records and compile comprehensive minutes from meetings, ensuring all pertinent information is systematically documented and readily accessible for all stakeholders.
  • Foster a positive and collaborative work environment by building and maintaining strong relationships with team members, enhancing team cohesion and support.
  • Act as the primary point of contact for clients, addressing their inquiries and concerns with professionalism and promptness, thereby maintaining high levels of client satisfaction and trust.
  • Manage the uploading of content to various platforms, ensuring that all materials are correctly formatted and published on schedule, contributing to efficient content dissemination.
  • Actively monitor and respond to questions and comments on clients' social media accounts, providing engaging and timely responses that effectively communicate with and captivate the audience.

Required Skills and Qualification:

  • Possess at least a Diploma in Business Administration or a related field, underpinning a strong foundation in office management and administrative functions.
  • Demonstrated ability to juggle multiple tasks simultaneously and work independently within a team setting, showcasing strong multitasking and coordination skills.
  • Experienced with office management software, particularly MS Office (MS Excel and MS Word), enabling efficient handling of office tasks and documentation.
  • Exceptional organizational skills, capable of maintaining orderly and efficient workflows, thereby enhancing overall office productivity.
  • A proactive problem-solving attitude, essential for quickly identifying and resolving issues, ensuring continuous smooth office operations.
  • Excellent writing skills are crucial for drafting clear, concise, and effective documents, correspondences, and reports.
  • Effective communication skills, vital for accurately and professionally conveying information across various levels of the organization.
  • Strong customer service skills, essential for managing client relationships and handling inquiries with professionalism and efficiency.
  • Ability to effectively manage multiple tasks and projects simultaneously, work under deadlines, prioritize tasks, solve problems, and perform effectively under pressure.

Preferred Skills and Qualifications:

  • Previous experience in an administrative role within the branding or advertising industry, offering relevant industry insight a nd expertise.
  • Familiarity with project management tools and software (such as Asana, Trello, Notion), enhancing the ability to organize and manage projects efficiently.
